Get Smart: Maximize Your Smartphone (and Other Mobile Devices)
Property management is primarily about people. You need prospective residents to want to live on your property and have regular dealings with you. So it’s critical to offer friendly, responsive service—in a very timely manner.
In today’s fast-paced world, people expect near-instant replies. That’s why leading property agents, landlords and site managers are making the most of their mobile devices so they can be unchained from the desk and free to roam where they’re needed most: onsite and meeting with potential customers.
Here are a few ways for busy property management professionals to get the most out of their smartphone or tablet:
Be Organized – Is your home screen in good order or is it bogged down with app upon app? The average smartphone owner has 95 installed apps. If you’re one of those people, take the time to remove the ones you don’t use and organize the ones you do. Put your favourite apps on the home screen at the very top, so you don’t have to click more than once to access them. Organize the rest into folders. You might be shocked at how much time this will save over the course of a month!
Simplify Move-Ins/Move-Outs – By making use of mobile during move-in and move-out inspections, you can quickly and easily take photos of the unit, and arrange any maintenance work while onsite, maximizing efficiency. Better yet, you’ve just eliminated paperwork by using a digital checklist.
Carry a Spare (Outlet-Free) Charger – Charging your phone through an outlet is ideal, but let’s be real: for on-the-road teams, it’s not always possible. Be sure to bring along a portable charger. Bonus tip: Go into airplane mode for a faster charge!
ID Your Phone – If you lose your phone and someone finds it, make it easy for them to return it. Put your contact details on your lock screen. It’s the digital equivalent of writing your name and number in your agenda. (You’ll find the option under Settings on Android, Health on iOS; on a Windows phone, you can edit the wallpaper to include your details.)
Keep on Top of Customer Service – Use your phone to quickly respond to customers. Of course, you could respond through regular email. But if you log in to your portal from your phone, you’ll always have a online record in one central location, complete with a digital trail.
Get Weather Notifications – Many weather services will send alerts of snow, freezing rain, heavy rain and other morning commute hindrances. For on-the-go property reps, especially those travelling between cities, these updates are key for planning safe, timely travel. Sign up for weather alerts to ensure you arrive on time—and in one piece.
Schedule Maintenance Anywhere, Anytime – With a smartphone, you can keep tabs on existing work orders, ensuring that no service request or preventative maintenance falls through the cracks. Snap photos of areas in need of repair, and quickly create a work order that has a clear trail of digital communication. Not only will your job become easier, but you’ll be able to keep third-party and onsite vendors and maintenance crews accountable.
Seal the Deal – From prospective residents to building owners, imagine how much impact your pitches would be if you could demonstrate everything your property management company can do, on-the-spot? Whether meeting with a potential client in their office or greeting a new tenant upon arrival, use your phone or tablet to log in to the tenant portal and demonstrate how tenant maintenance requests and automated rental payments work, in real time.
